2020-12-08 FAC MINUTESMinutes of the Fine Arts Commission held on December 8, 2020. Members present: Susan Ackley Tia Bowman Luis Crump Michael Stock Members absent: Beth Boone Victor Bruce Jewel Malone The meeting was called to order at 6:04 pm. Mr. Crump made a motion to approve the minutes of November 10, 2020 minutes. Motion seconded by Ms. Bowman and unanimously approved. Ms. Dorney related that if the Commission’s FY 2021 budget of $8,000 is exhausted, funds will be transferred from the recreation department’s budget. Discussion turned to the online artist event on January 15th. Copies of the flier were distributed to members for review and corrections. It was related the flier will go into the Village newsletter as well as various social media sites and an ad in the Chamber’s monthly Egret. There will be a Zoom test of the event on January 11th to work out any possible kinks. Ms. Ackley will forward the Zoom link to everyone. It was decided to create an account on Eventbrite for the event registration. The link for Eventbrite will be added to the flyer. Zoom will be the primary platform for the event. It was also decided to change the time of the event to begin at 7:00pm. Ms. Ackley discussed marketing the event through the Chamber’s Egret. A small Egret ad is $395 and a large ad is $495. Mr. Stock made a motion to approve $495 for an Egret ad for the January Arts Alive Online event. Motion seconded by Ms. Bowman and unanimously approved. Ms. Bowman suggested creating a survey on Survey Monkey and sending it out to those who attended the online event to get feedback on future live events. Mr. Crump suggested giving Luis Valle an outline to follow for the event to help with time management. Ms. Ackley said the Mr. Valle has done virtual events previously and will find out details of prior events. Mr. Stock said he has reached out to Miami Shores People of Color for suggested performers for February’s live event. It was suggested Mr. Stock contact Leesa Richards, a jazz performer. It was suggested to give Ms. Richards the theme of the event and let her develop a program. Ms. Dorney suggested seeing how the first online event before committing to additional virtual events. Ms. Bowman suggested that the Commission have at least two or three events to determine if a virtual event works, adding it takes time to grow an event. Ms. Ackley added that the Commission may wish to forego an Egret ad and put a flyer in the bag instead; it was then determined that the cost to insert a flier is $697 per month to advertise to Miami Shores, Biscayne Park and El Portal. Mr. Stock made a motion to cancel the Egret ad for January. Motion seconded by Ms. Bowman and unanimously approved. Ms. Bowman made a motion to spend up to $50 on a Facebook ad for the January virtual event. Motion seconded by Mr. Crump and unanimously approved. Mr. Stock made a motion to Mr. Stock to negotiate with Leesa Richards a virtual event on February 19th with accompaniment for up to $500 for a one hour program. Motion seconded by Ms. Bowman and unanimously approved. Ms. Bowman suggested giving Leesa Richards an alternate location for the virtual event, namely 9900 NE 2nd Avenue. This suggestion was accepted. Ms. Bowman offered to research dance groups and bring the information to the January meeting. The meeting adjourned at 7:45 pm.
