MEETING MINUTES
The meeting was called to order at 8:52am by Nancy Frehling. Present were Michelle Brown, Library Director,
Nancy Frehling, Vice President, Puja Motiani, Secretary, Marie Mennes; Christine Gay, President and Barbara
Lawless were excused.
Public Comment: None
Presentation: Miami Shores Arts & Culture Commission Exhibit Proposal by Kristen Adsit. Kristen presented
several artworks by 3 local photographers; Chris Ha, Kate Baumwell, and Sandra Abbo. They will each display 5
pieces in the library for 6 weeks starting May 22, 2025. On May 22, 2025 there will be an event hosted at the
library, an art show with the possibility of a lecture, to showcase this exhibit. Puja Motiani moved for a motion to
approve the exhibit, Marie Mennes seconded. Motion carried.
We discussed an additional event in October to follow the theme of Art Month. Further details will be discussed
with the Fine Arts Commission. Marie Mennes moved for a motion to approve the event, Nancy Frehling
seconded. Motion carried.
Approval of Minutes: The Board reviewed the minutes from the March 12, 2025 meeting. Nancy Frehling moved
for approval of the minutes, Marie Mennes seconded. Motion carried.
Community Alliance Report: The report was presented by Marie Mennes.
Financial Report: Michelle Brown presented the Financial Report. The library expenses are at 33% and revenue
at 6% to date. Michelle Brown reported that the Board has a trust at TD Bank with an interest rate of 0.13%, and
has requested quarterly statements. The funds in the account are comingled with donations; the Board has
requested that the library funds be separated from the donations. Puja Motiani moved for a motion to approve the
Financial Report, Marie Mennes seconded. The Financial Report was approved.
Circulation Report: Michelle Brown presented the circulation report. Nancy Frehling moved for a motion to
approve the Circulation report, Marie Mennes seconded. The Circulation Report was approved.
- Archives Report: Michelle Brown presented the Archives report:
John Bachay will interview Lucy Walker for the Oral History Project.
The walking tour with the Historic Board and Open House Miami was a success with 25
attendees.
The Miccosukee Presentation was a success and will be done again in the future.
Old Business:
• Welcome Packet for new Board Members – this will be reviewed further by the Village Administration. The
Welcome Packet was approved by Marie Mennes and seconded by Nancy Frehling.
• Seating for Main Room – Approved $5000.00 for the additional seating and tables in the main room –
approved by Nancy Frehling and seconded by Marie Mennes.
• Grant Request for Oral History Project – the Grant request for $2500.00 is ready to be submitted to the
Alliance Board – approved by Nancy Frehling and seconded by Puja Motiani.
Other Items:
- Library to participate at Green Day April 26th, 3-8pm on Library lawn. Will feature newest StoryWalk
