MEETING OF THE LIBRARY BOARD OF TRUSTEES
Wednesday, February 26, 2025 at 8:30am

MINUTES
The meeting was called to order at 8:39am by Christine Gay. Present were Michelle Brown, Library Director,
Christine Gay, President, Nancy Frehling, Vice President, Puja Motiani, Secretary, Marie Mennes; Barbara
Lawless was excused.

1. Approval of minutes of the January 8, 2025 and January 30, 2025 meetings:
The Board reviewed the minutes from the January 8, 2025 and January 30, 2025 meetings. Christine Gay
moved for approval of the minutes, as amended. Marie Mennes seconded. Motion carried.
2. Community Alliance Report — Marie Mennes reported: The Alliance brunch was this past weekend; Green
Day is April 26; The Martha/Mary Concert series organizers have offered free tickets to the library staff
and board members.
3. Financial Report: January 2025 — Michelle Brown reported (see attached) — we are at 20% expenditures
and the revenue is not up to date due to the staffing issues in accounting at the Village. She discussed the
health of the trust account and the board requested more information. The trust account is estimated to
have $114,000.00. Other revenue indicated: $143.97 from books sold April -December 2024 via
BetterWorld Books. The roof has had a few repairs and will need to be replaced soon and will be included
in the next budget. Christine Gay moved for approval of the financial report, Nancy Frehling seconded.
4. Circulation & Archives Report: January 2025 — Library Archivist, John Bachay, hosted the event at the
country club for the donation of a golf club from Roy Hawkins' family. He also connected with MDC
Wolfson campus to repair a film from the Johnny Winters archival collection.
5. Old Business
• Sound System — Sydow Wing Update — Michelle Brown received a few estimates over
$10,000.00. Village IT team will look into updating the sound system with surround sound
speakers, and possible the Rotary Club will sponsor this project.
6. Other Items
• Migration of Library Software to "Cloud" — this will cost $1120 and the board agreed this
can wait until the fall budget.
• 2025 Art Exhibit Proposal to FAC — possibly collaborate for an exhibition with a local
artist, Chris Ha and others to display at the library.
Seating for Main Room — We need more seating and possibly a few additional smaller
tables. We will need to rearrange the furniture to create space for more tables and chairs.
• There is now a full staff with new hires: Nayling Sandoval and Gabriella Colom.

9:12am.
