2024-12-11 LB MinutesMeeting of the Board of Trustees Wednesday, December 11, 2024 Brockway Memorial Library Conference Room The meeting was called to order at 8:57 a.m. by Christine Gay. Present were Michelle Brown, Library Director, Christine Gay, President, Nancy Frehling, Vice President, Marie Mennes and Barbara Lawless. Puja Motiani, Secretary, was excused. Public Comment: None Presentation: None. 1. Approval of Minutes The Board reviewed the minutes from the November 2024 meeting. Nancy Frehling moved for the approval of the minutes; Marie Mennes seconded. Motion carried. 2. Community Alliance Report: Marie Mennes presented the report. 3. Financial Report: Michelle Brown presented the Financial Report. The Library is currently in the first quarter of the budget, and expense are at 10% to date. Christine Gay made a motion to approve the Financial Report, Nancy Frehling seconded. The Financial Report was approved unanimously. 4. Circulation Report: See attached. a. Archives Report: John Bachay assisted with the presentation of the Miami Shores Centennial Finale with the Historic Preservation Board. Mr. Bachay also spoke at the historic home designation of an Edwin Reeder designed home, and recorded the oral history of Milton Dillon, the grandson of Roy Hawkins. 5. Old Business: a. Positions. There is a potential candidate for the Youth Services Assistant position. The Library still has an open part time employee position. b. Courtyard — Michelle Brown will ask Mary Benton and Victor Bruce to return to the Library Board to present updated plans and planting information for the Courtyard garden. 6. Other items: a. Air quality update: Small amounts of suspected mildew or mold appear to be present in certain areas of the Library, including near the main front doors and in the adult fiction section of the Library. The Village Public Works Department will conduct an inspection and remediate as needed. The Library has a dehumidifier that runs constantly. b. Roof. Since the Summer, parts of the Library roof have been replaced and repaired. Ms. Brown stated that a new roof is needed for the Library. The current roof is at least 20 years old. The Library will include a new roof in our capital improvements budget for Fall 2025, the cost of which will be borne by the Village. c. Window washing. The front windows have been washed. The Library building has been pressure cleaned. 7. Announcements See December 2024 Calendar. The next scheduled Board Meeting is January 8, 2025 at 9am.
