Brockway Memorial Library Conference Room
The meeting was called to order at 9:03 a.m. by Christine Gay. Present were Michelle Brown,
Library Director, Marie Mennes, Nancy Frehling, Vice President, Barbara Lawless, and Puja
Motiani, Secretary. Christine Gay, President, was present via phone.
Public Comment: None
Presentation: None
Approval of Minutes The Board reviewed the minutes from the September 11, 2024 meeting.
The meeting in October was cancelled due to weather. Puja Motiani moved for the approval of
the minutes; Marie Mennes seconded. Motion carried.
1. Community Alliance Report: Barbara Lawless presented the report.
Mary Benton spoke about the Courtyard project and mentioned a water feature
We discussed creating a QR code on a flyer to pass out at these meetings and events. The
QR code could link to the library calendar.
The Alliance has requested photos from their Grant Projects. Their grant funded the Library
summer program.
Financial Report: Michelle Brown presented the Financial Report for September and October
2024. There were new unexpected expenses due to additional maintenance work paid by the library
Operational funds, such as the roof leak repairs. These repairs are usually done by Public Works,
but they do not have the staff to complete these projects now. See attached reports.
2. Circulation Report: See attached reports from September and October 2024. We
requested to have the reports with the numbers from last year to be able to compare the
differences.
a. Archives Report: John Bachay has been meeting with and interviewing local
residents with ties to Miami Shores history. He has met with Grace Church
members to share information. He has also met with Planning & Zoning to
discuss the history of the Miami Shores Golf & Country Club. Roy Hawkins'
grandchildren have donated his Golf Clubs to the Miami Shores Country Club
and they will be hung in the Pro Shop at the Miami Shores Country Club. The
Hawkins grandchildren will also participate in the Oral History project. John
Bachay also met with the Miami Art League and Patrizia Bonaduce from the
Historical society for house files and floor plans of centennial homes of Miami
Shores. He also spoke with Alex Mekl from Opa Locka. Joel Franco will be
doing the videography for the Oral History project. We discussed using an ipad
on a stand in the Library for the history presentation. We will request a grant to
fund this project.
3. Old Business:
a. Youth services coordinator position is reopened and has 5 candidates.
b. Courtyard update: This project has grown in scale and now requires permits for
electrical and plumbing. The village attorney is reviewing it and the project is
on pause until there is a project manager or leader to handle these aspects of the
courtyard renovation.
4. Other items:
a. Brockway Memorial Library was voted a Neighborhood Favorite on Nextdoor.
b. Storywalk will be updated in January and again in April, then June.
c. Library staff participated in a study for EverGreen to update the job descriptions
to ensure that salaries and jobs are classified and compensated adequately.
d. The middle office is now vacant and it was suggested to create a rare books
room in this space. This would require new shelving and furniture and possibly
lighting. We have donations ($6,000.00) from the Rosenblum family and could
use these funds and dedicate the room in their name.
