Advisory Board Meeting Minutes -February 26, 2020 Advisory Board Meeting Wednesday, February 26, 2020 Present: M. Wilcoxen, M. Mennes, T. Septembre, N. Powell, M. Gallo, C. Baetzel, P. Arutyunov, R. Strickland and A. Pozzi Mr. Pedro Rajo – Via Phone – arrived at the meeting at 6:39 pm Howie Orlin – arrived to meeting at 6:00 pm Meeting was called to order at 5:35 pm The Advisory Board minutes from January were approved Old Business: A. Pozzi – • The ice and water dispenser is on order. The size we need to meet demand is special order only. The expected delivery has been pushed back to June • The Country Club Advisory Board presentation to the Village Council is scheduled for March 3 M. Gallo – Mr. Rajo and I will make the presentation New Business: A. Pozzi – • Mr. Scott Maroon could not attend the meeting; however, he sent some questions / concerns… o He asked if there are any plans to enhance the entrance area leading to the restaurant / banquet rooms  All lobby furnishings were replaced less than 2 years ago and we currently do not have any plans for enhancements in that area o He also asked about using live plants instead of the fake ones  We have had live flowers on the tables in the past and have decided to replace them with artificial ones due to difficulties and costs associated with maintaining live flowers in proper condition. We have received very positive feedback from the changes and currently have no plans to replace them, but we will have staff clean the dusty ones o He said that he was here for Valentines Dinner and Tapas and said there was a old smell and the carpet looked dirty  We agree that there is an old building smell. That is why we have the dehumidifier and the aroma machine, it is possible on the day of your visit the scent cartridge ran out, but we have replaced the cartridge since then  Carpets in the Clubhouse and Pro-shop were cleaned on January 27th, February 6th and February 18th, but we will instruct the housekeepers to go over the heavy traffic areas again N. Powell –Are there any other options for taking the tee times reservations? A. Pozzi - • As we continue to add new members, the demand for the very early (7 to 8:30 AM) on Saturday morning has increased. There is a special demand for (7:15 to 8:30 AM) and we have more members vying for those special times then are available • For the sake of perspective allow me to go back a few years. Up to three ago the long standing policy of the Club granted all golf members 7 days advance tee time privileges. The result of this policy was that the same early bird groups would get the same Saturday morning time because they were the early ones at the Club. To ensure fair and equitable access to those times we then changed the policy to 7 ½ days (members could make their tee times starting at Friday at noon. So that all members would be able to make their reservations via phone without having to get up at 5 am on Saturday morning to their time • As our members continue to grow, the following year we extended the tee times reservation window for full golf to 10 days and the window for executive golf stayed at 7 days • We currently have 8 lines coming into the pro-shop which are answered by a single attendant to ensure that there are no duplicates of tee time’s reservations. This attendant answers the calls based on the que the phone establishes • Chris Baetzel went back 12 weeks to see whether there was a rotation in the reservations of these tee times. Alberto passed the information to the board • We are looking to replace the P.O.S. system and may do the tee time bookings online for members, they would have a username and a password and one of the features is the ability to give members to book ahead of public, so we can remove staff from the process and along with it the perception of favoritism towards any one group • However we believe the same issues that we experience with the phone we will experience with the online booking system, if 2 members try to book the same time the system will automatically drop them to the next available time C. Baetzel – • Some members believe that we do something funny with the tee times • We are as fair as possible • Some private clubs do a lottery or auction for the prime tee times, which does not work for our situation A. Pozzi - • Perception is reality • The problem is going to be worse in the upcoming weeks as we change the clocks which results in 4 or 5 less early tee times available M. Wilcoxen – • Janelle Beck won the Wilcox tournament • One week from tomorrow we play the handicap and club champion together, we are expecting a good turnout T. Septembre – Please expand on the Thursday night changes A. Pozzi - • We started a series of Pop-Up events, we started with craft beer and burger night and Pavel and since added several others; Tapas and Tintos, Taco and Tequila night and tomorrow will be scotch and cigars • We will continue adding other offerings to expand on the Thursday nights M. Gallo – Everything is good, Sunday was super busy M. Mennes – Are the coyotes still causing problems? A. Pozzi – They are becoming a nuisance digging holes and damaging bunkers and defecating on the greens H. Orlin – • Lewis does a great job maintaining the tennis courts • Just resurfaced all the tennis courts • Posts regularly on instagram • Starting Thursday and Friday night adult clinics and Saturdays is family day • Miami Country Day plays in the afternoons and the place is packed • Going to start promoting the spring camp and then summer camp is right around the corner C. Baetzel – Billy Griffith called to say that St. Rose of Lima is starting a golf team and Miami Shores Country Club will be their home course P. Arutyunov – • Free Scotch and cigars is our theme for tomorrow and we will have a representative from Glenlivet, Aberlour and Chivas Regal, a cigar roller making cigars to order • The following Thursday will be Tacos and Tequila T. Septembre – Can we do a wine tasting? P. Arutyunov – Yes will set something up and have a wine representative here C. Baetzel – • Ian McNamara and Mark Gallo and Pedro Rajo are doing a fantastic job putting the Member-Guest tournament together. • 28 teams are signed up • The first day of the tournament will be a shamble format and the second day will be a best ball format • The Club Championship will take place March 28 and 29th R. Strickland – • Getting ready for some really big events in March • Easter and Mothers Day are around the corner The next meeting is scheduled for March 25, 2020 Meeting adjourned at 6:58 pm
