Meeting of the Board of Trustees
October 9, 2019 at 8:30 a.m.
Brockway Memorial Library Conference Room
The meeting called to order at 8:33 a.m. by President, Laura Farley. Present were: Laura Farley, President,
Christine Gay, Secretary, John Camp, Michelle Brown, Library Director. Cheryl Gowing and Kathleen Redmond
were excused.

1. Approval of Minutes: John Camp moved to approve the September 11, 2019 minutes, Christine Gay
seconded. Motion passed.
2. Community Alliance Report: Laura Farley attended the October Community Alliance meeting. The
MSCA has $25,922.34 in the fund so far which will go towards the Mayor’s Gala. There were a record
number of applicants for various Village Board seats (56 total). The Mayor stated she was excited about
the Library programming. The Mayor also highlighted the Library’s trolley tour. The Chief of Police
reported that the crime rate is down; Susan Ackley talked about Green Day which will take place on
November 2, 2019 and upcoming Fine Arts Commission events at the Library.
3. Financial Report: The Library’s fiscal year closed 9/30/19. The Library was at 101% of budget for
revenue and 97% of budget for expenses, though there were a few expenses not yet accounted for. The
Library had a few overages in repairs and travel, as compared to the budget due to large operating expenses
including new library cards and some furniture, but we were able to cover those costs. We spent only 8%
for postage only as compared to budget, because the Librarians now mainly do email and phone calls to
patrons. The Library currently has an opening for an Assistant 1, PT in evenings, 20 hours per week. A
few applicants are being considered for this position. The annual Artisan Fair was a huge success. We
had 25 vendors this year, and almost 400 visitors. The Artisan Fair raised $880 for Library Trust, which
is used for special programs and projects. Christine Gay moved to approve the financial report; John Camp
seconded. Motion passed.
4. Circulation Report: Total circulation for September 2019 was 5,508 items, with 135 holds placed. The
Library repaired 101 book and media items in September. The Library added 40 new members in
September – 20 adult residents; 8 child residents; 2 adult non-residents and 10 child non-residents. The
Library digitally archived 90 items. We have a volunteer helping us weed the collection and move the
books. Back magazine issues have been moved to the large print area to create more room in fiction.
5. Old Business:
a. Construction update: Per Stobbs, as of last week, they were supposed to have final drawings
completed for the Library expansion project.
6. Other items:
a. Tenting: The Village was not comfortable with the contract with Ehrlich for tenting for termites.
The Village is negotiating the contract, and tenting will be rescheduled.

7. Announcements:
a. October 10, 2019, 6pm: The Last Resort Film Screening. This Film is about Miami Beach and the
photographer Andy Sweet. Sweet’s sister will be here to show the film and talk about her brother’s
work and life.
b. October 17, 2019, 6:30 pm: The Great Real Estate Boom of the 1920s with HistoryMiami’s Paul
George
c. October 18, 2019 at 6:30 pm: Fine Arts Commission Artist reception with Mateo Zapata
d. October 19, 2019, 10 am: Miami Shores Trolley Tour
