Minutes - June 12 2019Meeting of the Board of Trustees Wednesday, June 12, 2019 at 9 am Brockway Memorial Library Conference Room MINUTES The meeting of the Board of Trustees of Brockway Memorial Library was called to order at 9:03 AM by the President. Present were: Michelle Brown, Library Director; Cheryl Gowing, Board President, Kathleen Redmond, Secretary, and Donna Hurtak. Christine Gay and Laura Farley were excused. Public Comment: None Presentation: Library Director, Michelle Brown, presented the 2018 - 2019 Annual Report for final Board review. Donna Hurtak moved to approve the report; Kathy Redmond seconded. Motion passed. Guests: Miryam Rojas of the Miami Shores Fine Arts Commission attended the meeting to present a proposal by artist Matteo Serna Zapata for exhibit at Brockway Memorial Library in October. She provided a sample of 3 pieces of art by Zapata and explained that the series will have 15 pieces. Ms. Rojas also informed the Board that there were a number of artists reviewed prior to selection of this artist. The Board asked that, in the future, up to three artists be proposed for consideration prior to final approval. Kathy Redmond moved to approve the October Exhibit featuring Matteo Serna Zapata; Donna Hurtak seconded. Motion passed. MSFAC will also participate with exhibits during Black History Month (February) and Library Week (April). Minutes: May 2019 minutes were reviewed. Kathy Redmond moved to approve the minutes; Donna Hurtak seconded. Motion passed. Community Alliance Report: This month’s sponsor was Miami Shores Property Owners’ Association. Mayor Crystal Wagar co-chaired her first meeting as Mayor and announced that meetings will now start at 9 AM instead of 8 AM. The balance of funds received from the Mayor’s Gala Event totaled $62,033.59 and of that total $56,000 was distributed in 24 Grants at the meeting. There remains a balance of $6.033.59 (+ $17,500 held in escrow for the eventual Community Center Building Fund). The Mayor reported that Cambridge + iPrep will start in Fall 2019 with Fifth Grade students at Miami Shores Elementary; $97,000 in funding is needed in year #1 and performance measures need to be established. The Village is working with Miami-Dade County Public Schools to have the residential boundary changed to include all Miami Shores Village residents in the Miami Shores Elementary feeder zone. Quiet (railroad) crossings have been approved by Miami-Dade County covering NE 79th Street to County Line Road; we are currently in the 21-day waiting period to implement. Financial Report: It was noted that Line 31 (page 2) has a remaining balance of $3,500. Some of those funds will be reallocated, possibly to iPads in the children’s area. Raffle sales this month amounted to $37; Memorial Day donations totaled $775. Brockway Library received two grants from Miami Shores Alliance: $1,500 for Children’s Programming and $4,000 to start funding for the children’s computer lab. Donna Hurtak moved to approve the financial report; Kathy Redmond seconded. Motion passed. Circulation Report: There were a total of 5,032 circulations in Books and Media during May + 227 checkouts on Overdrive eBooks and eAudio + 22 Magazines. A total of 133 holds were placed. During the month 90 adult copies, 60 youth copies and 15 media were added and 2 book donations were received. 31 patrons were added, including 21 Adult and 5 Child residents + 2 Adult and 3 Child non-residents. The Patron Inventory Project, now at letter “v” is nearly completed yielding a total of 6,609 Patrons. Old Business: The “Little Free Library” at the Tot Lot will be dedicated with a ceremony on Thursday, June 20th at 11 AM. Salary reviews will take effect in October, however Board Members encouraged an earlier start for the Adult Services Librarian to bring her up to parity since she has received her Master’s Degree. The revised Art Exhibit Policy was presented. Kathy Redmond moved to approve the Policy as amended; Donna Hurtak seconded. Motion passed. A copy will be provided to Miami Shores Fine Arts Council. Construction designs and testing are being completed now and the permitting process will begin soon. It is expected that physical ground-breaking will take place in September 2019 with completion of the Children’s Wing projected for late Summer 2020. The 2020 Black History Month Program will be held again at the 9900 NE 2nd Avenue location on February 6, pending availability. An expanded proposal, highlighting a more localized history of race in the immediate area, was reviewed. There will also be an exhibit featuring Lenore Anthony and Black Jazz in cooperation with Miami Shores Fine Arts Commission starting January 15 and extending into February. Kathy Redmond moved to approve the proposals and events; Donna Hurtak seconded. Motion passed. Other Items: It was reported that 71 additional archive items were digitized this month. Announcements: The 2018 - 2019 Brockway Memorial Library Annual Report will be presented by Board President, Cheryl Gowing, at the June 18 Village Council Meeting at 6:30 PM. It was requested that available Board Members also attend. There being no further business Kathy Redmond moved to adjourn the meeting; Donna Hurtak seconded. The meeting was adjourned at 10:55 AM.
