Minutes of the Fine Arts Commission held on March 13, 2018.

The meeting was called to order at 6:10 p.m.
Mr. Stock made a motion to approve the minutes of the February 13, 2018
meeting. Motion seconded by Ms. Haddocks and unanimously approved.
Commission members would like to have both face painting and balloon twisting at the
spring concert. Ms. Dorney related since the band needs an extra hour for set
up/sound, the overtime for the public works staff will need to be charged to the
Commission.
In regards to the recent Fireside concert, it was noted that more than two food vendors
are needed, but overall it was a great concert. $100 was received from the two
vendors, which will go into the donation account. It was noted that there will be a
barbecue vendor as well as pretzels, Italian ices and lemonade at the spring concert.
Georgee Kluck has also sponsored the face painting for $150.
Discussion turned to reviewing Unity Day. It was estimated that 100 children stopped
by the Commission's booth; murals were placed on the ground and kids painted them.
Discussion tuned to the upcoming private artist reception for Village council. Recent
lobby artist Andrea Nhuch will be recognized as well as new artist Ernesto Kunde. Ms.
Rojas suggested having thank you plaques made for event sponsors Bob Bourne, Chip
Shepard and Abbie Salt for $25 each. Mr. Stock made a motion approve $75 from
the donation account for thank you plaques to be presented at the Council
reception. Motion seconded by Ms. Haddocks and unanimously approved.
Discussion turned to the short play series on April 20. Ms. Haddocks made a motion
to approve spending up to $50 for graphics per event without Commission's
approval. Motion seconded by Mr. Stock and unanimously approved. Ms. Rojas
will be securing tables/lighting to create ambiance for 60 people. Ms. Ackley suggested
invitations for the short play series. Mr. Stock volunteered to provide the ambient
sound for the event. Mr. Stock made a motion to spend up to $100 to print 300

invitations/brochure. Motion seconded by Ms. Rojas and unanimously approved.
Ms. Haddocks suggested serving popcorn to simplify the issue of food. Food will be
decided at the April meeting. It was suggested keeping the lights turned off during
intermission with music playing.
Discussion turned to marketing for Commission events, with a suggestion to have a
photographer at all events. A suggestion was made for Ms. Rojas' daughter to
photograph the events and pay her $25-$35 per event, with the pictures uploaded to the
Fine Arts Events Facebook page for storage. Mr. Stock made a motion to approve
spending $25 for a photographer for the spring concert. Motion seconded by Mr.
Baker and unanimously approved.
Ms. Ackley would like to have invitations/brochures for all Commission events and
spend $100 to print 300 of them. Mr. Stock made a motion that the Commission
print invitations for all future events. Motion seconded by Ms. Haddocks and
unanimously approved.
Discussion turned to the size of future Egret ads and if the Commission would like to
increase the size to a full page ad. It was related the cost of a 9-unit ad would cost an
additional $54. Ms. Ackley suggested having uniformity in the size of all Egret ads to
increase visibility.
